Job Description

  • Full administrative support of office operations, reception and document flow management (incoming and outgoing correspondence).
  • Administration of access control systems, security processes and video surveillance; preparation of safety reports and management of employee access cards.
  • Coordination and administration of local and international courier services (Nova Post, Ukrposhta, DHL), including shipment documentation, invoicing, customs coordination and communication with couriers.
  • End-to-end vendor administration (contractors and service providers), invoice processing and ongoing communication.
  • Administration of electronic digital signatures (creation, renewal and employee support).
  • Support of onboarding processes and preparation of welcome packs for new hires and guests.
  • Organization and support of office events (townhalls, celebrations, corporate activities) and holiday gifting coordination.
  • Office space management, including maintaining order, comfort, locker administration and thematic office decoration.
  • Organization of business transportation via taxi services.
  • Provision of basic administrative IT support (DocOnline, Vchasno).

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Previous experience as Administrative Specialist / Office Administrator.
  • Understanding of document management processes and knowledge of vendor administration principles.
  • Experience in working with courier services, contractors and external service providers.
  • High level of accuracy and attention to detail in handling documents, reports and systems.
  • Strong organizational and multitasking skills with the ability to prioritize tasks independently.
  • Excellent communication and stakeholder management skills.
  • Ukrainian – fluent, English – intermediate (B1–B2).
  • Experience in an international or multinational company is a plus.
  • PC skills: MS Word, MS Excel, MS PowerPoint; experience with document management systems, electronic digital signature tools and ERP systems (SAP or other systems) is an advantage.
